refund policy

At Minbun Studios, we understand that creative projects require time, resources, and flexibility. To protect both our team and clients, the following refund policy outlines when refunds are available, what costs are non-refundable, and how refund requests are handled.

1. Refund Eligibility:
Refunds may be considered in the following situations:

Technical Failure (On Our End): If a significant technical failure directly attributable to Minbun Studios materially impacts the quality or usability of the final deliverables, a partial refund of up to 50% of the total service fee may be considered. Examples include extensive out-of-focus footage, corrupted or unrecoverable files, recording failures, or major equipment malfunctions that substantially affect the agreed-upon deliverables.
Production Inability: If Minbun Studios is unable to fulfill the agreed filming, photography, editing, or production services due to internal circumstances such as illness, emergency, or equipment failure, and no reasonable reschedule or alternative arrangement can be agreed upon, a full or partial refund may be considered.
Duplicate Payments: Any accidental duplicate payments made by a client will be refunded in full upon verification.

All refund requests are reviewed on a case-by-case basis. Refunds are not guaranteed.

2. Non-Refundable Costs:
The following expenses are non-refundable under any circumstances, even if the project is canceled, postponed, or delayed:

Sets, Props & Materials: Any sets, props, or materials purchased or rented specifically for the production.
Equipment Rentals: Costs associated with renting cameras, lighting, audio equipment, or other production gear required for the project.
Permits & Event Authorization Fees: Costs associated with obtaining permits, venue approvals, park permits, application fees, insurance requirements, and other fees necessary to secure authorization for an event or production.
Third-Party Vendor Costs: Payments made to venues, contractors, performers, freelancers, transportation providers, or other third-party services booked or secured on behalf of the client.
Completed Work: Once filming, photography, editing, post-production, graphic design, animation, or any other contracted service has begun, all work completed up to that point is non-refundable.

3. Client Responsibility & Error:
Refunds will not be granted in the following cases:

Inaccurate Information: If the client provides incorrect, incomplete, or outdated information, materials, schedules, footage, shot lists, or project requirements.
Client Delays: If the client fails to provide required assets, approvals, feedback, access, or responses within a reasonable timeframe.
Creative Preference: Refunds will not be issued based solely on personal preference, creative differences, artistic style, editing choices, color grading, camera angles, lighting conditions, or other subjective opinions when the final deliverables reasonably meet the agreed project scope.
Change of Mind: If the client chooses to cancel, postpone, or discontinue the project after work has commenced.

4. Cancellation Policy
To respect the time, effort, and resources invested in preparation and production, the following cancellation terms apply to all shoots and services.

Notice Period:
• Cancellations made more than 48 hours before the scheduled shoot may be canceled without a cancellation fee, excluding any non-refundable costs already incurred.
• Cancellations made less than 48 hours before the scheduled shoot will incur a 50% cancellation fee based on the total booking price.
• Cancellations made on the day of the scheduled shoot will incur the full booking price (100%).

No-Shows:
Clients who fail to appear for their scheduled shoot without prior notice will be charged the full booking price (100%).

Non-Payment Enforcement:
• If payment is not received as required, the client may be restricted from booking future services with Minbun Studios until any outstanding balance has been resolved.
• Cancellation fees are separate from and do not override any non-refundable costs listed in this policy.

5. Requesting a Refund
To submit a refund request:

Include: Project name, shoot date, and a clear explanation of your request

We will respond within 7 business days after receiving your request. Each refund case is reviewed individually. Approved refunds will be processed within 10 business days after approval.

6. Refund Disputes
Disputes regarding refunds must be submitted in writing. If no resolution can be reached through communication, the matter will be escalated according to our legal terms outlined in the Terms of Service.
