At MB Studios, we do more than simply film events. We provide end-to-end event production support, ensuring that your event is properly planned, legally compliant, professionally managed, and fully documented from start to finish.
Many clients are unfamiliar with the permitting, insurance, and compliance requirements associated with hosting public events in New York City. This page explains what is required, why these costs exist, and how MB Studios handles the process on your behalf.
1. Service Overview (Special Events Only)
MB Studios provides full-service event production for public and semi-public events, including but not limited to:
• Dance events (RPDs, showcases, flash mobs)
• Community gatherings and cultural events
• Brand activations and pop-ups
• Outdoor performances and festivals
• Multi-crew filming and documentation
Our role includes both production execution and event compliance coordination where required.
2. Permits & Legal Authorization Requirement
Any event taking place in public or regulated spaces (including NYC Parks, plazas, sidewalks, or city-controlled property) may require official authorization before the event can legally occur.
Permits may be required for:
• Use of public space
• Organized programming or performances
• Crowd gatherings above minimum thresholds
• Use of amplified sound systems
• Installation of equipment or staging
• Event staff, volunteers, or production crews
• Scheduled or reserved public area usage
Without proper permits, events may be:
• Denied access by city officials
• Shut down during operation
• Subject to fines or enforcement action
• Liable for legal and financial responsibility
MB Studios does not assume responsibility for unpermitted events unless explicitly contracted for compliance services.
3. Compliance Responsibility (MB Studios Role)
When contracted for compliance services, MB Studios manages the full permitting workflow on behalf of the client.
This includes:
• Permit application preparation and submission
• Coordination with NYC Parks or relevant agencies
• Insurance documentation handling (COI, endorsements)
• Bond and waiver processing
• Administrative communication with authorities
• Compliance tracking and approval management
• Event documentation for official approval records
MB Studios acts as a production and compliance coordinator, not a government agency or insurer.
4. Compliance Fee (Required for Special Events)
The Compliance Fee covers all mandatory government, insurance, and administrative requirements needed to legally operate a public event.
This fee is separate from production services and must be completed prior to final event approval and execution.
MB Studios fully manages the permitting and compliance process on behalf of the client. Clients are not required to apply for, coordinate, or handle any permits directly. Our team handles all submissions, communication, and approvals with the relevant city agencies.
Compliance requirements may vary depending on event size, location, duration, equipment usage, and city agency determinations. As a result, final compliance costs may differ between projects.
Example Compliance Breakdown (Standard Event):
• NYC Parks Special Event Permit — $25 USD
• NYC Parks Sound Permit — $45 USD
• Certificate of Insurance (COI) — $276 USD
• Waiver of Subrogation — $79 USD
• NYC Parks Bond Certificate — $100 USD
• Administrative Processing — Included
Example Total Compliance Fee: $525 USD
5. Production Services (Separate from Compliance)
Production services include the creative and operational execution of the event.
This may include:
• Event planning and scheduling
• On-site production coordination
• Photography and videography
• Multi-camera coverage
• Audio capture and management support
• Crew supervision and logistics
• Highlight video production
• Social media content creation
• Post-production editing and delivery
Production fees do not include permits, insurance, or government filings unless explicitly stated.
6. Event Execution Requirements
To ensure safe, legal, and properly executed events, the following conditions apply to all special event productions.
MB Studios is responsible for managing all required permits and compliance approvals for the event, including submission, coordination with city agencies, and securing final authorization where applicable. Clients are not required to apply for or manage permits directly.
However, clients must ensure the following responsibilities are met:
• All event details provided are accurate and confirmed prior to submission
• Final approved event scope (time, location, programming, and capacity) is followed on-site
• All performers, vendors, and participants comply with safety and venue regulations
• Equipment use remains within the limits defined in the approved permit
• Event activities remain within the approved time and designated space
MB Studios reserves the right to modify, pause, or discontinue production if:
• Safety concerns arise
• Venue or city regulations are violated
• Event conditions deviate significantly from the approved permit scope
• External factors prevent lawful or safe execution of the event
In such cases, MB Studios will not be liable for delays or interruptions caused by regulatory enforcement or non-compliance outside of our control.
7. Non-Refundable Compliance Costs
All compliance-related costs are non-refundable once submitted, including:
• Permit application fees
• Insurance policy costs
• Bond certificates
• Government filing fees
• Administrative processing time
These are third-party or regulatory expenses and cannot be recovered once processed.
8. Client vs. MB Studios Responsibility
To ensure safe, legally compliant, and professionally executed events, responsibilities are shared between the Client and MB Studios. However, MB Studios maintains final authority over production, safety, and on-site execution decisions during all active events.
Client Responsibilities
The Client is responsible for:
• Providing accurate and complete event details prior to submission
• Approving the final event scope, schedule, and programming plan
• Ensuring all participants, performers, vendors, and guests comply with event rules
• Securing any additional permissions not explicitly handled by MB Studios
• Cooperating with all safety and operational requirements communicated before and during the event
MB Studios Responsibilities
MB Studios is responsible for:
• Permit coordination and compliance management (if included in agreement)
• Full production planning and execution
• On-site filming, photography, and media coverage
• Event logistics and operational oversight
• Compliance administration and agency coordination (if applicable)
• Real-time production decisions related to timing, staging, safety, and execution
Production Authority
During active event operations, MB Studios retains final authority over production decisions, including but not limited to:
• Adjustments to schedule or event flow
• Changes to staging, positioning, or filming setup
• Temporary pauses or modifications for safety or compliance reasons
• Decisions required to comply with venue rules, permit conditions, or public safety requirements
This ensures the event is executed safely, legally, and in alignment with approved permit conditions and production standards.
9. Failure to Obtain Permits
If required permits are not approved prior to the event:
• MB Studios may cancel or withdraw from participation
• No liability is assumed for canceled or interrupted events
• Compliance fees already processed remain non-refundable
• Event organizers assume full legal responsibility
MB Studios prioritizes lawful and permitted production environments only.
10. Limitation of Liability
MB Studios is not liable for:
• Government permit rejection or delays
• Venue enforcement actions
• Weather-related cancellations
• Injuries, damages, or incidents outside production control
• Legal consequences from unauthorized event activity
Total liability is limited to the amount paid for MB Studios production services only.
11. Changes to This Compliance
MB Studios reserves the right to update compliance requirements, pricing, or procedures based on:
• NYC Parks regulations
• Insurance provider requirements
• Venue policies
• Legal or municipal changes
• Event scale or risk level
Updated terms will take effect upon posting.
