Equipment Rental Policy

Effective Date: July 6, 2025

At Minbun Studios, we understand that professional equipment is essential to delivering high-quality creative work. To protect our gear, our team, and our clients, the following Equipment Responsibility Policy outlines how equipment is to be handled, who is responsible for damages or loss, and how related issues are resolved.

1. Equipment Responsibility
Clients are responsible for the care, safety, and proper use of all Minbun Studios–owned or third-party rented equipment used during a shoot or rental period.

Responsibility includes the equipment used by:
• The client
• Talent, crew, guests, or any third party present on set
• Any individual authorized or invited by the client

2. Client-Caused Damage or Loss
The client will be held financially responsible in the following situations:

• Damage or Malfunction: Any damage caused by misuse, negligence, improper handling, or unsafe operation.
• Loss or Theft: Equipment that is lost or stolen while under the client’s supervision or control.
• Replacement Costs: Clients are responsible for the complete repair or replacement cost at current market value, including applicable taxes, fees, and shipping.

3. Rented & Third-Party Equipment
If equipment is rented from a third-party vendor for a project:

• All rental costs are non-refundable once confirmed.
• Any damage, loss, or late return fees charged by the rental provider will be the client’s responsibility.
• Clients may be required to cover downtime costs if damaged equipment affects future bookings.

4. Environmental & Location Risks
Clients must disclose any potentially hazardous environments in advance, including but not limited to:

• Water, sand, smoke, dust, fog, or fire effects
• Extreme weather or outdoor conditions
• Crowded public spaces or high-risk locations

Damage resulting from undisclosed or unsafe conditions will be billed to the client.

5. Unauthorized Handling
Clients and third parties may not move, adjust, or operate any equipment unless explicitly approved by Minbun Studios staff.

• Any damage resulting from unauthorized handling will be fully billed to the client.
• Minbun Studios reserves the right to pause or terminate a shoot if equipment safety is compromised.

6. Payment for Equipment Damage
Invoices for equipment damage, loss, or related fees must be paid within 7 business days of issuance. Failure to settle equipment-related charges may result in restriction from future bookings, withholding of final deliverables, or further action as outlined in our Terms & Conditions.
